AI processing

Summaries, follow-ups, folder briefs and answers are produced by an AI model. That model does not run on your Mac. This page says exactly what is sent, when, and what happens to it.
1. What is sent, and when
Nothing is sent until you ask for something. The triggers are:
- Summarising a meeting — sends that meeting’s transcript, and, if screen recording is on, the screenshots taken during it.
- Extracting follow-ups — sends the transcript and the notes you typed.
- Asking a question about your meetings — sends your question and the transcripts relevant to it.
- A folder or team brief — sends the summaries of the meetings in it, not the raw transcripts.
- Filing a meeting — sends the title, the participants and a short extract, to decide which folder it belongs in.
Live transcription is separate and is covered in the Privacy Policy: it runs on your Mac, or on a transcription provider you supply your own key for.
2. Where it goes
Requests go to our servers and from there to the model provider on our account — currently Anthropic, and a self-hosted open model running on Amazon Bedrock. Both are configured not to train on what we send them, and we do not train models on your content ourselves.
Your content is sent to produce your result and is not used to build features for anyone else.
3. What we count
We record how many AI requests your account makes, and roughly how large they were, so that plans and limits can be applied and so we can see what the service costs. These counts do not contain your content.
4. What the model produces is a draft
Summaries and extracted follow-ups are a model’s reading of a transcript, and transcripts mishear. Names come out wrong, decisions get recorded backwards, and a deadline can attach itself to the wrong sentence. Everything the AI writes is editable for exactly this reason.
Do not rely on an AI summary as a record of what was agreed without reading it. It is a starting point, not minutes.
5. Turning it off
Automatic follow-up extraction can be turned off in Settings, and no summary is produced unless it is asked for. If you want nothing sent at all, use the app for transcription and do not use the meeting AI features.
6. Changes of provider
We may change model providers. When we do, this page is updated, and if the change is material we will ask you to agree to it again.
